New Hire Mandatory Processes
The following steps must be completed before your first scheduled start date.
Throughout the pre-employment process, most of our communication will come through email and/or text. Please watch for multiple emails between now and your scheduled start date. Be sure to check your spam/junk folder if you don’t see an email within the timeline below.
MercyOne is a member of Trinity Health in Livonia, Michigan. Some of the emails and communication you receive may come from Trinity Health.
Our communication timeline is as follows:
Your background check must be completed prior to your start date. To ensure there are no delays, please complete the background check and employment verification through Sterling/First Advantage as soon as possible. Ideally, please complete the link on the same day you receive it. If that’s not possible, be sure to start the background check no later than two days after receiving the email.
Watch for an email from NoReply@sterling.app. Follow the instructions in the email by clicking the link provided, signing the electronic consent forms, and completing the required data collection.
Please note:
Sterling/First Advantage is optimized for use on a PC or Mac using Google Chrome. It is not optimized for mobile devices, so we strongly recommend not using your phone to complete the process.
Tips to Help Streamline the Process:
Part of the hiring process includes employment verification. This can move more quickly if you:
• Enter all employers from the past 7 years.
• Provide a valid email address for each employer, along with a supervisor’s or HR representative’s name.
• If you worked through a temporary agency, please list the agency’s contact information, not the company you were assigned to.

Please look in your email inbox for a message titled: “Congratulations [Your Name]! You are receiving an Offer!” If you don’t see it in your inbox, be sure to check your junk or spam folder.
There are three tasks in Workday that you need to complete before we can officially hire you into our system. These tasks are:
- Signing your Offer Letter
- Entering your Social Security Number (SSN)
- Providing your Personal Information
Please complete these tasks as soon as possible—ideally within 24–48 hours. We need to finalize your hire in order for our Identity and Access Management team to generate your username and password.

As part of your preboarding, all new hires must complete the I-9 Form to verify identity and employment authorization. We use Equifax’s Virtual I-9 system, allowing you to complete this process remotely for a seamless experience.
There is a 2-step verification process:
Step 1: Follow this link to Equifax.
- Complete section 1 of the form.
- Include all last names: You should include all last names you have used, including your maiden name (if applicable).
- Include hyphens and apostrophes: If your name has a hyphen or apostrophe, you will need to include it.
Step 2: Virtual verification
- Your I-9 Section 2 Verification will be done virtually using video conferencing/virtual meeting technology. This meeting will take place immediately following your completion of Section 1 of the I-9.
- You will first be prompted to upload your documentation then you will meet with a virtual agent to review.
- The hours to meet with a virtual agent are M-F 5am-4pm PST/8am-7pm EST. If you are completing this item outside of these hours, you will be notified to return to complete the portion of meeting with a virtual agent during the hours of operation.
- To be prepared for the virtual I-9 Section 2 Verification, be in a quiet well-lit room as the agent will be confirming your identity on camera. Have your documents ready to share with the agent and ensure your camera and microphone are turned on.
- From beginning Section 1 of the I-9 to finishing Section 2 with a virtual agent, it should only take between 10-15 minutes. Please set this time aside so you can finish the process in full.

This step will be completed in Workday
You must be hired into the Workday system before you will be able to complete this step. You will receive new login information once your employee account has been created
- First, you’ll need to activate your account. You will receive two (2) automated emails from Trinity Health with your username and temporary password. This may take up to five (5) business days after you sign your offer letter
- Once you login, please complete all the onboarding tasks available to you
- Please note that as you complete certain tasks, more tasks may appear

Prior to starting in your role, you must complete an Employee Health Services (EHS) appointment, which is a mandatory hiring requirement. The EHS appointment includes a review of the functional requirements of the position, a urine drug screen, and a blood draw. Appointments are approximately 2 hours long, and there is no cost to you.
- To avoid delays in your start date, please ensure your EHS appointment is scheduled at least 10 days before your first day.
- If you are unable to attend your scheduled appointment, contact Talent Acquisition at least 24 hours in advance.
- You will complete a New Hire Medical Form during your EHS appointment.
- Because a urine drug screen will be conducted, please arrive well-hydrated.
What to Bring to Your Appointment:
- Valid government-issued photo ID
- Immunization records
- COVID-19 vaccine card or a completed medical or religious exemption form
Vaccine Requirements
Meeting the immunization requirements is a condition of employment. Candidates may not begin employment with MercyOne until all requirements have been met.
Required Vaccines:
- Varicella (chickenpox) – lab-documented proof of immunity
- Mumps, Measles & Rubella (MMR) – lab-documented proof of immunity
- Pertussis – documentation of Tdap vaccine
- Hepatitis B – lab-documented proof of immunity
There are two additional vaccines that are required unless a medical or religious exemption is approved. If you would like to apply for an exemption, please see the hyperlinks below and bring the appropriate completed form to your EHS appointment.
Vaccines Requiring Vaccination or Approved Exemption:
- Influenza (Flu) – proof of vaccination for the current flu season (October through April 30)
- COVID-19 vaccine
Required Tests:
- A negative QuantiFERON Gold test within one year of screening.
- If the QuantiFERON Gold test is positive, a negative chest X-ray must be completed at a MercyOne Medical Center facility.
- Alternatively, a 2-step TB skin test will be accepted if done correctly: one step within the previous 12 months and the second within 90 days.
Required paperwork to complete and bring to employee health appointment
If you are interested in submitting a COVID Exemption request
- Please fill out the appropriate request form (COVID-19 Medical Exemption or COVID-19 Religious Exemption Form)
- Please make sure you complete the form in its entirety
- Submit your COVID-19/influenza exemptions documents to the employee health email at EMPHLTHMC@mercyhealth.com.
- Your request form will be reviewed, and you will be notified of clearance.

Provide requested documentation
- If your position requires specific education, licensure or certification, we will reach out to you via email to request proof.
- Please monitor your email and respond quickly to any request that is sent.
- All certifications must be valid and up to date at time of your first day.
- If any of your certifications will be expiring prior to your assignment end date please provide a receipt for your scheduled re-certification class
- If you are completing your assignment in a state that has an Emergency Order in place and you do NOT have licensure in that state. Please apply for a nursing license as soon as possible if you currently are working.
- If/When that emergency order ends or expires and if you do NOT have a license, we will be forced to remove you from the schedule.
- NOTE: Currently Trinity Health accepts AHA ACLS, BLS, PALS
As you complete these mandatory pre-hire processes, we will do everything on our end to get you started on schedule. You will be notified via a Clearance Email once you are cleared and approved to start work.
This email will include orientation information, schedule Information and important information regarding your first week of employment. We are excited for you to join MercyOne!
If for any reason you are not cleared to start before the deadline, we will notify you via email and let you know next steps.
